Privacy Policy | DentalGenius

At DentalGenius, we take the protection of personal data and compliance with privacy legislation seriously. This privacy policy briefly explains when and how DentalGenius processes personal data it manages. This external privacy policy does not (of course) relate to how we process personal data as an employer of our own employees.

This policy has been drafted in accordance with the privacy legislation of the Netherlands (where our company is based), including the General Data Protection Regulation (“GDPR”, which applies to the entire European Economic Area, “EEA”). DentalGenius is a Dutch private limited company, registered with the Chamber of Commerce under number [company number], and located at [address].

You can always contact us regarding the processing of your personal data. If you wish to do so, you can reach us via [email address], and we will respond as soon as possible.

This privacy policy may change, for instance, when our processing activities change. You can always find the most recent policy on our website. At the bottom of this page, you will find the date on which this policy was last updated.

Which personal data DentalGenius processes, when and why.

We only process limited personal data, and in a limited number of situations:

Newsletter: To subscribe to our newsletter, we need and process your email address. After you sign up, we'll send you a confirmation email. You can easily update your newsletter preferences or unsubscribe completely via the links at the bottom of every email we send. The legal basis for processing your personal data for our newsletter is your consent.

Website Visit: When you visit our website (https://dentalgenius.nl), we automatically gain access to certain personal data, such as your IP address. We also use cookies. Through the use of these cookies, we may gain access to and process additional personal data. For privacy-sensitive cookies, we ask for your consent before using them (via our cookie banner). See our Cookie Policy for more information, including how to delete cookies. The legal basis for processing your personal data when you visit our website is consent (if you accept all our cookies) and/or a legitimate interest (namely enabling and optimizing your website visits).

When you contact us: If you contact us (via our website or otherwise), we will process the personal data you provide to us. In such cases, we do not use your data for other purposes. The legal basis for processing your personal data when you contact us is a legitimate interest (namely to respond optimally to your contact request) or, depending on the nature of your contact request, to take necessary steps to enter into a contract with you.

During a customer relationship: If you, or the company you work for, becomes a customer of DentalGenius, we may process certain personal data in that context. For example, to communicate with you via email (or otherwise), or to provide you access to an account through which you can use our product/service. The legal basis for processing your personal data during a customer relationship is the performance of the contract with our customer.

In any case, we only retain your personal data as long as necessary to achieve the aforementioned purposes.

Sharing Personal Data with Third Parties

We only share personal data with third parties when it is strictly necessary in the context of the aforementioned purposes. This only happens occasionally, and in all cases, we only use trusted third parties. These third parties are not allowed to use the personal data for their own purposes. Currently, we use Hubspot as a service provider to manage and send our newsletter.

Transfers of Personal Data Outside the EEA

If we were to transfer personal data outside the EEA (for example, when we collaborate with a third party located outside the EEA or that processes personal data on servers outside the EEA), we always ensure appropriate safeguards to protect the personal data involved. To this end, we also make suitable contractual arrangements with the relevant third party (including the use of the standard contractual clauses for data transfers from the European Commission).

Your Privacy Rights

Under the GDPR, you have certain rights in relation to the company or organization that manages your personal data (in this case, DentalGenius). Firstly, you have the right to request access to your personal data, or to request the rectification or deletion of your personal data. You also have the right to object to (or request the restriction of) the processing of your personal data, as well as the right to data portability. Where we process your personal data based on your consent (for example, in the case of our newsletter), you can withdraw that consent at any time. Finally, you have the right to lodge a complaint with the relevant supervisory authority (in the Netherlands, this is the Dutch Data Protection Authority).
